Project Coordinator; 6 month contract; based in Bristol; 37 hours a week; 200.00 per day via Umbrella company
An exciting opportunity has arisen for a Project Coordinator to support a busy team for a world-leading innovation organisation based in Bristol. The role is a great opportunity to get involved in coordinating some interesting events.
ROLE PURPOSE:
- To support the delivery of the business units projects and programmes through effective use of administrative processes and the financial system software
- Support the programme team with coordinating events including setting up and running workshops and conferences
- Liaise with venues and ensure everything is booked on the system
- Create social media posts to advertise the events
- Network at events on behalf of the company
- Provide support into project control tasks where required
- Support the Business Unit team and the wider business with any ad-hoc requests
MAIN ACTIVITIES:
Project Delivery Support
• Support Project Managers and rest of the delivery team through the execution of administrative processes, enabling the timely delivery of projects. These include, but are not limited to:
- General/project administration support
- Meeting and review coordination (i.e. booking of rooms, catering etc.) and support (taking minutes etc.) where required
- Project documentation control where required
- Ad-hoc requests for support/general administration
- Diary management for members of the team where required
- Processing expense claims for business unit members
- Financial-based administrative tasks:
- Purchase Requisition/Purchase Order creation and management <5k
- Goods Receiving against POs and invoice reconciliation/payment
- Support to raising new suppliers in system
- Liaising with Finance team to resolve any queries/blockers
Project Control Support
• Provide support into key project control processes where required, including:
- Updating Action/Risk/Change Control registers
- Weekly/monthly bookings and cost reports
- Creating/providing job codes where requested
- Support in the production of project-related data and reporting
- Support to project planning and coordination processes
- Create and maintain weekly, monthly and quarterly reports where required pulling information from key business areas
- Coordinate the inputs for S&OP processes where required and providing analysis to Business Unit teams on variance
- Maintaining CRM reports and actions logs
- Undertake other responsibilities or activities, as requested by your line manager, to support your team or wider activities.
PERSON SPECIFICATION
Essential Desirable
Qualifications/Experience
- Previous Administrative experience
- Experience of working within a project management team
- Extensive experience in the use of MS Office particularly Excel, Word and PowerPoint
- Experience of coordinating events would be an advantage
Qualifications/Experience

- Experience of working in an engineering environment
